Common questions
Do I need special software to collaborate, or will my regular Excel work?
Your regular Excel works fine—either the desktop app or the web version. The key requirement is storing your file in the cloud (OneDrive for Business, SharePoint, or Teams) rather than on your local machine. Mac demonstrated real-time collaboration using the desktop app on one end and the web app on the other, showing that it doesn't matter which you choose as long as the document lives in the cloud.
What's the difference between Notes and Comments, and when would I actually use each one?
Notes are single-user annotations you add to cells for documentation—like explaining what a formula calculates. Comments are threaded conversations between collaborators that appear in a pane on the right and can be assigned as tasks. In the course, Mac showed using Notes on an NPV analysis to explain calculations to anyone reading the file later, then switched to Comments when actually collaborating with Katie to discuss changes in real time.
If someone else changes the same cell I'm working on, whose change wins?
Whichever person saves last—their value overwrites the others. That's why Mac recommends structuring collaborative workbooks so each person works on their own worksheet, then formulas bring that data together on a summary sheet. This way Cindy can't accidentally overwrite Bob's work because they're working in separate places.
Can I see exactly what changed in a spreadsheet after people collaborated on it?
Yes. When you store a file in the cloud, you get version history showing every change with timestamps, plus a "Show Changes" audit trail that highlights each edit with details about what cell changed and who made it. Mac demonstrated this by reverting to the original version and then restoring back to the modified one, and showed how the audit even displays the comments that prompted each change.
Is there a tool to compare two versions of a spreadsheet and catch every difference?
Yes—the Inquire add-in (included with Microsoft 365 Enterprise and Office Professional Plus). It compares workbooks cell-by-cell and identifies changed formulas, changed values, inserted or deleted rows and columns, and more. Mac showed comparing a version he sent out to a client against the version they returned, instantly spotting that they'd changed a formula from summing E41:H41 to E41:G41, plus all the value changes they made.
